The main task of the Department is to record and analyze personal and public information of students, taking into account orders and instructions for students and conducting personal files.

Functions

  • The execution of the instructions of the director of the Academic Department, the leadership of the Partnership on issues within the competence of the department;
  • Correspondence and interaction with state and local authorities and organizations in the field of education, pension and social security, supervisory authorities and other organizations in the interests of the university on student contingent, training, transfer and recovery of students;
  • Entering, forming and updating the database of students in “Platonus”, “ESUVO”, “NOBD”, “NTC MES of Republic of Kazakhstan”, “Moodle”, the movement of students in educational grants and government orders;
  • Analysis and monitoring of the qualitative and quantitative contingent of students, including students using distance educational technologies;
  • The formation of the necessary information, as well as a package of documents of students applying for vacant educational grants, freed up in the process of obtaining higher education, for the appointment of scholarships of the President of the Republic of Kazakhstan, for participation in the competition for the grant of a rector for winners of subject Olympiads;
  • The acceptance of acts from the selection committee and the storage of personal files of first-year students for subsequent accounting, management and storage in the prescribed manner throughout the entire period of study at the university;
  • Preparation of draft orders on the movement of students (restoration, transfer from one university to another, transfer from one academic institution to another, provision of academic leave, withdrawal from academic leave, expulsion), on a change of surname, name, patronymic, and secondment of students for participation in subject Olympiads;
  • Provision, preparation and execution of basic documents;
  • Preparation of the annual statistical report according to the forms 1-NK, 3-NK; administrative semi-annual reporting in ESUVO according to forms No. 1,2,3,4; annual certificate on the university FEFE MES RK and various organizations and institutions upon official request;
  • Preparation of reports on public services “Restoration and transfer of students”, “Exit on academic leave”;
  • Participation in the development of draft decisions of the authorized bodies and management of the Partnership, as well as other documents regarding the activities of the department;
  • Providing advisory, methodological assistance to the structural units of the Partnership within the competence of the department;
  • Preparation of letters, inquiries, answers, reports and other necessary documents to authorized state, non-state bodies, institutions and third parties, as well as to the management of the Partnership, on issues within the competence of the department;
  • The implementation of other functions in accordance with the task of the department, as well as determined by the bodies, management and internal regulatory documents of the Partnership.
